GymTrack ("we", "our", or "us") operates gymtrack.net and provides gym management software as a service. This Privacy Policy explains how we collect, use, store, and protect your information when you use our platform.

1. Information We Collect

1.1 Account Information

When you register a gym on GymTrack, we collect:

• Gym owner name and email address
• Gym name, logo, and contact details
• Billing information (plan selection)

1.2 Member Data (entered by you)

As a gym owner (tenant), you enter data about your gym members including names, contact numbers, photos, subscription details, attendance records, and financial transactions. This data belongs to you and is stored in your isolated tenant database.

1.3 Usage Data

We automatically collect certain technical information when you use GymTrack, including IP address, browser type, pages visited, and usage timestamps. This helps us improve the platform.

2. How We Use Your Information

• To create and manage your gym account and tenant database
• To process your subscription and send billing notifications
• To provide technical support
• To send product updates and important service announcements
• To improve GymTrack's features and performance

3. Data Isolation & Multi-Tenancy

GymTrack uses strict multi-tenant database isolation. Each gym's data — members, invoices, attendance, and all records — is stored in a completely separate database. No gym can access another gym's data. GymTrack staff access tenant data only when required for support and with your permission.

4. SMS Integration

GymTrack provides optional SMS integration. If you choose to connect an SMS provider, your provider credentials are encrypted and stored securely. We use these credentials solely to send SMS messages you configure (e.g., reminders, alerts). We do not access, share, or monetize your SMS provider credentials.

5. Data Sharing

We do not sell your personal data or your members' data to third parties. We may share data with:

• Service providers — hosting, infrastructure, and payment processors under strict confidentiality agreements
• Legal requirements — if required by law, court order, or government authority in Pakistan

6. Data Security

We implement industry-standard security measures including:

• HTTPS/TLS encryption for all data in transit
• Encrypted database backups
• Per-tenant database isolation
• Role-based access controls within the platform

While we take security seriously, no system is 100% immune to breaches. We encourage you to use strong passwords and keep your credentials private.

7. Data Retention

We retain your account data for as long as your subscription is active. After cancellation, your data is retained for 90 days to allow for reactivation. After 90 days, all tenant data is permanently deleted. You may request earlier deletion by contacting us.

8. Your Rights

You have the right to:

• Access all data stored about your gym and members
• Export your data at any time from your dashboard
• Request correction of inaccurate data
• Request deletion of your account and all associated data

9. Cookies

GymTrack uses essential session cookies to keep you logged in. We do not use third-party tracking cookies or advertising cookies.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we'll update the "last updated" date at the top of this page and notify active subscribers via email for material changes.
